Minutes of Annual General Meeting, 1st March 2007

1. Minutes of previous AGM

Agreed.

2. Matters Arising

There were none.

3. Chairman’s Report

Rachel’s full report can be found in the AGM booklet. In addition to those retiring committee members mentioned in the report, Rachel thanked Barbara Murray for her work as Borough Council Liaison Officer.

4. Treasurer’s Report

Barry’s full report and accounts (printed in the AGM booklet) were accepted.

Barry drew attention to the following points;

a) Cash assets increased by £3963 despite a significant reduction in catering income which was down from £2300 to £750. Catering contributions, which have played a large part in strengthening the club’s finances, will be negligible from 2007 onwards.

b) Less money was spent this year. Kit purchases at £234 were down by around £1600 and stock was reduced. Capital items at £110 were down by around £500. Stationery and administrative expenses were down by £420.

c) For the sake of simplicity non cash assets appear as notes to the annual accounts.

d) Activities and events are generally self-financing. This includes races (the Langley 7, Forest Five and Macclesfield Half Marathon) organised by the club which were financially successful.

e) Coaches were provided for Young Athletes League fixtures in 2006 and these are shown as a new category.

f) The club received a cheque for £363 from Andy Addis for surplus funds from the Roaches race. This will appear in the fell running category in the 2007 accounts.

g) Surplus funds from track income over track hire were reduced but it was still possible to make a £2200 donation to the track appeal.

h) Although the Half Marathon has a separate account and committee, the 2006 race generated £6000 for charity including £1500 for the track appeal.

Jon Falkner queried whether it would be beneficial in terms of taxation for the club to be registered as a charity. It was suggested that the main benefit would be the ability to claim gift on membership subscriptions.

It was agreed that Julian Brown should investigate the possibility of the club attaining charitable status and report back to the committee.

Barry was thanked for his work as the Treasurer over the past four years.

5. Team Managers’ Reports

Reports on fell running, cross country, track and field, road running, the Under 11s, Under 13 Girls and Under 15 Girls are in the AGM booklet.

All team managers were thanked for their efforts throughout the year.

Good turnout - notices on the forum work...

One comment, in the days when I was still on the committee, the AGM agreed fees for the coming year. Did I blink during that part of the AGM?
Or has that responsibility also been handed over?

yes Mike I saw you nodding off at the back a couple of times. Surely years at AZ should be training for staying awake at meetings.......

Subs are staying the same for next year :shock: :shock: ... and you'll all be getting a renewal with the next mag, which should be with you in a couple of days.

Julian,

Years at AZ teaches you to take some reading (or similar) to any meetings in an attempt to stave of the boredom / do something useful with the time. Luckily the AGM supplied a handy little booklet of the year's achievements.

Glad to hear the fees are staying the same.

Anyt news about this year (2009)! Would be good to get some idea of what is happening via website or forum to keep members informed and who is working hard behind the 'training and competition' scene to keep things going!
